# Who controls customer data in a white-label ticketing arrangement?

> Understand customer data control in white-label ticketing, including contracts, access, marketing permissions, portability and provider responsibilities.

**White-label changes the customer-facing experience; it does not automatically change legal roles or data rights.** A ticketing business may present its own domain, branding and communications while using a third-party platform to store orders and issue tickets. The underlying contract and processing activities determine which party may access, export or use personal data.

## What does white-label actually change?

For example, a theatre group operating a branded checkout may control event pricing and the communications it sends to customers. Its technology provider may still need limited access to personal data to run the system, provide support and investigate incidents. Neither the domain name nor the absence of a “powered by” label establishes permission to market to buyers.

## Which decisions should the parties agree before launch?

A useful contract and implementation review should distinguish **control**, **access** and **reuse**.

| Question | What to agree |
| ------------------------------ | ----------------------------------------------------------------- |
| **Buyer relationship** | Which entity is named at checkout and in confirmations |
| **Controller/processor roles** | Who decides purposes; who acts on documented instructions |
| **Marketing** | Which parties may send which communications, on what lawful basis |
| **Reporting access** | Which teams can view orders, buyers and attendees |
| **Exports** | Formats, frequency, scope and cost of data extraction |
| **Subprocessors** | Which service providers handle payment, email or support data |
| **Exit** | Timetable, deletion/retention rules and migration assistance |

The same organisation may act in different [controller or processor roles](https://ico.org.uk/for-organisations/uk-gdpr-guidance-and-resources/controllers-and-processors/) for different processing activities. Fraud prevention, payment handling and analytics may require separate analysis rather than a single blanket ownership statement.

## How can a business retain practical control?

**Practical control is measurable.** Ask whether teams can configure collection fields, manage permissions, export usable buyer/order/ticket records, connect an approved CRM, audit administrative access and obtain data when leaving the supplier. Test these functions with sample records before signing.

An API alone does not guarantee portability: it may omit historical data, expose only some objects, or impose restrictions on export. Similarly, downloading a CSV does not establish a right to use every field for new marketing purposes. Build permissions and purpose limitations into the data flow.

## What should happen when the provider relationship ends?

Agree how live tickets remain valid during transition, which organisation sends service messages, what happens to duplicate records and whether operational records must be retained for legal or accounting reasons. Test the exit with examples: a partly used season pass, a refunded order and a transferred ticket.

**Bottom line:** choose white-label infrastructure on the basis of clearly documented data rights and working controls, not branding promises alone.
