# How should attractions manage annual passes and repeat visits?

> An annual pass gives a customer recurring admission rights for a defined period, but it must still be checked against date restrictions, capacity rules.

**An annual pass gives a customer recurring admission rights for a defined period, but it must still be checked against date restrictions, capacity rules, identity requirements and any reservation policy that applies to individual visits.**

## How is a pass different from a single-use ticket?

A standard admission ticket typically authorises one visit or attendance at a specified session. A pass is an ongoing entitlement that can be redeemed multiple times under stated conditions. Some attractions allow walk-up entry; others require passholders to reserve a time slot during busy periods.

## What must the system track?

| Data | Why it matters |
| -------------------------------- | -------------------------------------------------------------- |
| **Pass owner or eligible group** | Prevents unapproved sharing under the attraction's policy |
| **Validity dates** | Distinguishes active, expired and renewal-grace statuses |
| **Visit history** | Supports operational analysis without treating visits as sales |
| **Reservation status** | Counts future slot bookings against reservable capacity |
| **Entry validation** | Detects invalid or repeated entries when rules require it |

For example, a family pass may cover two named adults and up to three children, but the number of people using it on a particular visit may be lower. The capacity model needs to account for **people arriving**, not simply one pass record.

## What happens at checkout and entry?

Explain blackout dates, renewal terms, advance-reservation requirements and any named-holder rules before purchase. At entry, a scanner or staff workflow should distinguish an expired pass from a valid pass with a missing reservation. If capacity is full, the system needs a clear exception policy, not an accidental overbooking.

## How should success be measured?

Assess renewal rate, visit frequency, peak-slot utilisation, paid upgrades and support workload. Repeat visits should not be double-counted as incremental paid ticket purchases. Where CRM integrations are involved, define which platform owns entitlements and how quickly updates propagate.
