# How do ticketing systems integrate with CRM, ERP and finance software?

> How to connect ticketing orders, customers, inventory and settlements with wider enterprise systems without duplicating authority.

**Ticketing systems integrate with CRM, ERP and finance software by sharing well-defined records and business events, with explicit rules about which system owns each field.** A single integration rarely serves all three purposes: customer engagement, financial accounting and operational booking have different data needs.

## What should each system own?

| System | Typical responsibility | Main integration concern |
| ------------------ | ------------------------------------------------------ | ----------------------------------------------- |
| **Ticketing** | Events, bookings, reservations, tickets and admissions | Keep transaction state authoritative |
| **CRM** | Relationships, segmentation and consent records | Avoid duplicate customers and misuse of consent |
| **ERP/finance** | Ledgers, tax, settlements and liabilities | Map fees, refunds, taxes and payment timing |
| **Data warehouse** | Cross-system analysis | Maintain consistent IDs and event history |

Ownership varies by organisation. A membership-led venue may keep the primary contact profile in CRM while ticketing holds purchase and entitlement records. Document the actual direction of updates before development.

## How do identity and consent affect the integration?

A ticketing purchaser may also be a member, donor or corporate contact. Use stable identifiers and an intentional matching policy. Email alone is not always a safe unique key. Marketing consent should retain its source, timestamp, scope and withdrawal route; buying a ticket does not automatically authorise every downstream use of personal data.

## How should payments and revenue be integrated?

Distinguish an order from payment authorisation, settlement, payout and recognised revenue. A £100 customer order may include ticket face value, taxes, booking fees, refunds and amounts owed to third parties. Finance mapping needs those components separately and should not assume order date equals cash receipt or revenue recognition date.

## What prevents fragile integrations?

Use a field-level data contract, idempotent updates, error queues and reconciliation totals. Test cancelled tickets, exchanged tickets, partial refunds, chargebacks, duplicate customers and late settlement files. The output should be operationally explainable: if reporting and the ledger disagree, teams need a record of exactly which state transition or mapping caused the difference.
